Job Description
We are seeking a proactive and detail-oriented Office Administrator to join our team. This role is crucial in maintaining our high standards of service and client satisfaction, especially during the personal tax season when client volume and intake significantly increase.
Key Responsibilities
1. Office Management: Oversee daily office operations, including managing software, supplies, equipment and office maintenance.
2. Administrative Support: Assist with scheduling, calendar management and coordinating meetings for the executive team.
3. Client Relations: Serve as the first point of contact for clients, handling inquiries and ensuring excellent customer service, particularly during high-volume periods.
4. Document Management: Organize and maintain digital and physical files, ensuring data accuracy and confidentiality.
5. Financial Administration: Assist with invoicing, billing and basic bookkeeping tasks.
6. Project Coordination: Support various projects and initiatives, ensuring timely and accurate completion.
7. Communication: Facilitate internal and external communication, including drafting correspondence, managing emails and answering office phone.
8. High-Volume Intake Management: Efficiently manage the increased workload and client intake during the personal tax season.
9. Other Duties: Perform additional tasks as required to support the team and office operations.
Qualifications:
Education:
College or University degree in Business Administration, Accounting, or a related field.
Experience:
Minimum 2 years of administrative experience, preferably in a fast-paced environment.
Previous experience in a tax or law office is a significant asset.
Skills:
Excellent organizational and multitasking abilities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Adobe Pro and familiarity with other digital office tools.
Basic understanding of accounting principles and financial processes.
Ability to maintain confidentiality and handle sensitive information.
Customer service-oriented with a professional demeanour.
Strong IT and problem solving skills.

Compensation & Benefits:
